Our client is a Pan-Asian Events company headquartered in Singapore with over five decades of experience. They are currently looking for a Operations Manager to join their Events Team as they lead the charge towards a new events age in Asia, creating and curating the next generation of innovative events and venue experiences.
Role: Assistant Operations Manager / Manager
Location: Singapore
Salary: S$3,500 - S$4,500
Key Responsibilities
- Be the key point of contact for the show teams in all matters on allocated shows, internal and external
- Accountability for setting, regular forecasting & achieving operational show budgets for allocated events
- Responsibility for successful show management and technical delivery of several physical and digital events
- Manage production and implementation of show project plans ensuring all operational tasks are carried out on a timely basis according to individual project plans and within deadlines across all allocated events
- Implementation of internal and external Service Level Agreements on all allocated events
- Oversee production and delivery of the show exhibitor manual
- Communicate with suppliers to manage the brief, design, feature production and signage process in co-ordination with show teams and sponsors
- Communicate with suppliers and show teams to manage the brief, design, production and management of Registration areas and overall welcome experience
- Sets up and leads event pre-con meetings with all key suppliers and stakeholder
- Hires, manages, schedules, and trains temporary staff
- Lead event planning meetings, presenting clear and concise updates on event milestones whilst also identifying any impacts to the event and propose resolutions
- Manages all pre-and onsite facility interactions; including but not limited to venue, decorator, freight, audio visual, and virtual/hybrid platform
- Manages exhibitor participation in events (or oversees project team members); in the creation of operational communications with exhibitors including service kits, security forms, badge forms, freight scheduling, and other activities
- Manage larger project teams to oversee all preconference logistics such as but not limited to show information documents, temporary space arrangements, signage, and ordering of convention materials
- Compile post event reports and KPI analysis
- In collaboration with the Procurement team, monitor the ongoing performance of key contractors and troubleshoot / identify remedial action as required on each event
- Perform any other duties commensurate with the grade and level of responsibility
- Manage, mentor & develop team member in the Operations team.
- Setting, monitoring and management of direct reports' performance objectives and identifying training needs
- Work with colleagues to achieve best practice in terms of operational planning and management
Requirements
- Diploma or Degree holder
- At least 5 years working experience in the MICE industry, preferably in a similar
position in an exhibition/event organiser or experience in security operations planning and crisis management - Must have independently and successfully managed operations on exhibitions to a consistently high standard
- Ability to anticipate problems and/or put contingency plans in place
- Great communication skills and interpersonal skills
- Possess good planning, organisational and multi-tasking skills
