An opportunity now exists for a Liaison Executive to join our client, a global leader in the exhibitions industry.

You will be the liaison between the Show Director, Marketing, Sales and Operations teams as well as partners and speakers to ensure that each conference runs smoothly. You will provide excellent support for speakers and sponsors to ensure the experience is smooth and onsite whilst ensuring the event team has all the necessary information required from speakers and sponsors to support promotional campaigns.

Job Responsibilities:

  • Coordinate with the Event Director, Marketing Manager and Conference Manager to clarify event briefs
  • Execute speaker agreements and manage speaker requests in a timely manner
  • Obtain, publish and edit speaker pictures, biographies and session descriptions in line with the marketing and promotional deadlines
  • Assist marketing teams with the speaker promotions campaign
  • Liaise with internal and external designers to create and proof-read printed programmes and other promotional materials
  • Manage speaker accommodation, fees and expenses in line with event budgets
  • Provide accurate briefs for the operations team and AV company
  • Provide accurate briefs for conference chairs and speakers
  • Request and receive speaker slides to correct AV specifications and to a deadline
  • Manage the speakers, AV technical team and speaker lounge on site at events
  • Organise the logistical requirements for organisations holding small special events

Your profile:

  • You will be greatly well-organised, systematic and a self-motivated individual.
  • You will be able to work on their initiative, multi-task and prioritise within very tight deadlines.
  • Excellent time management, attention to detail and the ability to communicate effectively with people at all management levels.
  • Meticulous attention to detail
  • Ability to multi-task and work independently
  • Ability to remain patient and calm under pressure
  • To have a working knowledge of the following Microsoft packages: Word, Excel and Outlook
