Event Operations Manager - Luxury Events

About Us

Our client is a premier luxury event planning and management firm renowned for crafting extraordinary experiences. We are seeking a highly skilled and detail-oriented Event Operations Manager to join their team. The ideal candidate will possess a proven track record in managing high-end events and a deep understanding of the luxury market.

Job Description

The Event Operations Manager is responsible for the seamless execution of all aspects of luxury events, from conceptualization to completion. This role requires exceptional organizational skills, a proactive approach, and a passion for delivering unparalleled client experiences.

Responsibilities:

  • Pre-Event Planning and Coordination:
    • Collaborate closely with the event planning team to develop comprehensive event operations plans.
    • Conduct detailed site inspections and vendor assessments.
    • Manage event budgets, timelines, and resources efficiently.
    • Oversee the procurement of all event-related materials and equipment.
    • Develop detailed event day schedules and run-of-show documents.
    • Coordinate with all event vendors and suppliers, ensuring seamless communication and delivery.
  • Event Execution:
    • Lead and manage on-site event operations teams.
    • Oversee event setup, including décor, audio-visual equipment, and furniture.
    • Ensure adherence to event timelines and schedules.
    • Manage event logistics, including transportation, accommodations, and guest services.
    • Resolve any on-site issues or challenges promptly and efficiently.
    • Maintain open communication with the client throughout the event.
  • Post-Event Analysis and Reporting:
    • Conduct post-event evaluations to identify areas for improvement.
    • Prepare event reports, including financial summaries and attendee feedback.
    • Manage event invoicing and payment processing.
    • Develop and implement process improvements for future events.
  • Team Management:
    • Manage and train event operations staff.
    • Provide ongoing training and development opportunities for the team.
    • Foster a positive and collaborative work environment.

Qualifications:

  • Minimum of 3 years of experience in event operations, with a strong focus on luxury events.
  • Proven ability to manage complex events with multiple stakeholders.
  • Exceptional organizational and time management skills.
  • Strong problem-solving and decision-making abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in event management software and tools.
  • Ability to work under pressure and meet tight deadlines.
  • Attention to detail and a commitment to delivering exceptional results.

Desired Skills:

  • Knowledge of luxury brands and high-end clientele.
  • Experience in managing international events.
  • Bilingual or multilingual abilities a plus
  • Certification in event management or hospitality.
